Assignment Options and Fee Increase Request User Guide

CoesterVMS offers tools and solutions to ensure appraisal fee accuracy to its lender clients.  However, situations arise where available appraisers’ fee modification requests require an adjustment to the original fee. 

In scenarios where CoesterVMS Order Desk Staff, after conducting their systematically required due diligence, determine an order will not meet the original SLA, they will initiate one of the following request types to lender clients:

  • Assignment Options
  • Fee Increase

The sections below detail each process, along with the response tools available to client users.

User Rights

By default, all client users minus those with View Only rights have access to respond to Fee Increases and Assignment Options.  Authorized client users may contact CoesterVMS at support@coestervms.com to request disabling access to specific users.

Assignment Options

When the CoesterVMS Order Desk has multiple appraisers available for an assignment, but none meet the original SLA, they select the best two options based on fee and due date.  This action updates the order status to Pending Assignment Options and initiates an email to all users associated with the order.

The email allows users to select their preferred assignment option by checking the associated button and clicking Assign:

   

If none of the terms are acceptable to the client, users may select the Cancel option to cancel the order. 

Following selection of an assignment option, CoesterVMS systems will take the following actions:

  • Assign the order to the proposed appraiser and send a request for acceptance
  • Adjust the due date (when applicable)
  • Add an extra fee for the difference between the original fee and the proposed fee (when applicable)
  • Notify the client’s CoesterVMS Relationship Manager of any outstanding balances on the order
  • Update the order status to Assigned

Online Response

In addition to the Assignment Options email message, users can access and action these orders from two locations within the Cloud Control System at clients.coestervms.com:

  • In the Action Required tab of the Pipeline View:

  

  • At the top of the Order Details page, accessed via search or by clicking the linked file number from the pipeline:

  

The View Options menu from both pages will display the available assignment options, with selection column and Assign button to confirm the selected option: 

 

Integration Response

Clients placing orders through an integrated Loan Origination System or Service Provider will receive a note regarding the available assignment options through the integrated system’s native messaging system.  Client users can respond with a message indicating the preferred assignment option or the preference to cancel the order, and CoesterVMS staff will update the order accordingly.

Fee Increase Requests

When the CoesterVMS Order Desk determines a fee increase will be necessary to complete the assignment, they will initiate a fee increase request to the client.  This action updates the order status to Pending Fee Increase and initiates an email to all users associated with the order.

The email allows users to approve the proposed fee increase by clicking Approve:

 

If the updated terms are not acceptable to the client, users may select the Cancel option to cancel the order. 

Following approval of a fee increase request, CoesterVMS systems will take the following actions:

  • Assign the order to the proposed appraiser and send a request for acceptance
  • Adjust the due date (when applicable)
  • Add an extra fee in the amount of the request
  • Notify the client’s CoesterVMS Relationship Manager of any outstanding balances on the order
  • Update the order status to Assigned
