Property Contact Scheduling System Appraiser Guide

CoesterVMS developed the Property Contact Scheduling System (PCSS) to expedite the process of scheduling an appraisal inspection through an email based process. 

NOTE: The process described below is intended to provide an alternative method of scheduling, but does not exclude direct contact via phone or email. Accepting appraisers maintain responsibility for adhering with posted service levels.


Upon acceptance of an assignment, the contact designated by the lender client for entry to the subject property receives an email allowing them to select up to three preferred dates.  This initiates the process according to the workflow below:  

Review the sections below for information on selecting an appointment date, and the options available to Property Contacts following selection.

Selecting an Appointment Date

Following the Property Contact’s selection of their preferred appointment dates, the assigned appraiser receives an email notification reflecting the available options.  Appraisers can select their preferred appointment from the list by clicking the applicable radio button, then Submit:


NOTE: Internet browsers maintain various settings on form submissions from email messages.  In some cases, appraisers may be required to acknowledge submission to an external form, as pictured below:



If an appraiser’s preferred browser does not allow for email form submissions, they may select the Click Here option in the email which directs them to the portal below:



Appointment Confirmation/Declination

Following the assigned appraiser’s selection of a preferred date, the property contact receives a message to allowing them to confirm or decline the appointment.

If the Property Contact confirms the appointment, the order status automatically changes to Inspection Scheduled and the assigned appraiser receives email confirmation of the appointment date.



Appointment Declination

If the appointment is declined, the property contact receives an additional opportunity to select appointment dates. 

CoesterVMS suggests that assigned appraisers who have not received confirmation of their selected appointment directly reach out to the property contact via phone to ensure prompt scheduling of the inspection.

In addition to scheduling the inspection, the PCSS also allows the property contact to confirm the inspection occurred as scheduled.  If confirmed, the order status automatically updates to Inspected status and the assigned appraiser is notified of the confirmation:
